Pre – design + Sketch Design
A pre-design meeting between architect and client is held to clearly establish architect's scope of work and discuss detailed set of requirements for the project. In case of additions/alterations, it is important to measure-up existing layout, draw floor plans along with photographs for site analysis. A brief is prepared that includes:
- Design objectives, budget, limitations, flexibility and criteria
- Space requirements and their relationship-scope for future growth
- Site requirements, site analysis, council and consultant requirements
- Programme and procurement method
Your expectations for completion of project should be discussed with your architect and agreed at an early stage.
Based on Design Brief, prepare a conceptual Sketch Design Report comprising
- Sketch plans and illustrations that clearly outline the design intent. It is important to note that this is essentially a conceptual stage to express
the design intent with emphasis on resolving the layout plan.
- Preliminary selection of building system and materials
- Opinion of probable cost
Schematic designs are based on architect's understanding of local requirements, Development Control Plans (DCP). Councils and several government agencies have many regulations that affect design solutions.
Design Development
After client reviews the design (from Sketch Design stage), it is revised and client's comments are incorporated into the design. Design is further developed and refined.
It is important that you fully understand the plans and drawings. You also need to consider architect’s advice and recommendations and in return give clear instructions. Changes at this stage are simpler and less expensive than changes later.
- Preliminary sections elevations are prepared and selection of building system, materials and finishes is also made in this stage. Architect can suggest alternative building material and construction methodology that can bring to you substantial savings.
- Calculating areas, approximate dimensions and heights.
- Liaision with consenting authorities and co-ordination of consultants
- It is important to engage a Cost Planning Consultant/Quantity Surveyor for detailed cost estimate and understand and review cost implications, prior to proceeding ahead.
Fixed number of meetings as agreed before follow up initial communication through fax and emails.
Documentation for Development Application (DA)
Once the design is finalised in all respect in Design Development stage, the client 'signs off' the plans. Documentation for Council's DA submission are then prepared consisting of:
- Site Analysis+site plan
- Sediment control Plan, stormwater drainage concept plan
- Coloured floor plans, sections and elevations with schedule of materials and finishes
- Multiple copies of notification plans
- Liaision with council/pre-DA lodgement meeting
- Shadow diagrams
- Co-ordination with consultants-surveyor/structural engineer/hydraulics engineer/Landscape/Energy rating assessor
- Waste Management Plan
- Statement of Environmental Effects
- Assist client in completing council's DA form/lodge it to council
- Statement of Environmental Effects
- Heritage Report (if required)
Documentation for Construction Certificate (CC)
After the DA is approved, documents are upgraded suitable for construction certificate (CC). It is important to ensure that it complies and meets the standards set out in the Building Code of Australia (BCA). Incorporate changes (if required) and fulfill additional requirements that form part of council's conditions of consent.
- Liaise and co-ordinate with consultants like hydraulic engineer/structural engineer
- Prepare basic specifications-outlining materials and finishes
- Assist client in completing CC Application form/lodge it to council
Construction Documentation
Construction documents are detailed and complex, requiring skill, experience and time to prepare. They will consist of a set of large and small scale fully dimensioned drawings accompanied by written, bound specifications giving full detail and direction as to all work to be carried out. The specifications outline the site conditions and instructions. They set minimum standards for workmanship, construction methodology, performance and quality of building materials.
Schedule of doors and windows with brand name, selection of finishing materials and samples-paint finishes, colours, tiles, electrical and lighting fixtures, sanitary fixtures and accessories, kitchen, laundry appliances are all selected and nominated. Construction details are prepared with clear dimensions and notes and instructions. Services drawings are co-ordinated with the consultants such as Electrical, lighting, hydraulics and mechanical (if required) and also form part of the contract. Layouts are prepared and co-ordinated with the consultants. Some of the typical construction details are drawn at 1:50 or 1:20 scale such as joinery, stairs, balustrade, handrail and benchtop. Detailed kitchen, toilet, laundry layouts and elevations are prepared with floor patterns and joinery details.
It is important to include the project-related details when preparing tender documents. These documents will also be used to call tenders or to negotiate prices with builder and will form the basis of your contract with the builder.
Inadequate contract documentation results into provisional sums assigned by the builder at tender stage. Any later additions to documents at later date can result into claims for 'variations' by the builder, costing you thousands of dollars. This can result into budget blow out at a later stage.
Contract Administration
During construction on site, it important that the integrity of the project is maintained. Your architect plays a significant role during this stage. The continued services of architect during this stage is recommended as a part of full service commission. Since the architect has been involved in the project during documentation stage, its presence during construction ensures that it has been built until its completion as originally intended. If the architect is not involved in the project from the beginning, it is often difficult and not possible to undertake contract administration as partial services.
As an independent client's adviser and representative, architect liaises on your behalf with the builder. Architect ensures that the project has been completed as documented and as per the conditions of the contract. Some of the Contract Administration tasks are:
- Periodic site inspections to observe the progress of work and issue instructions to builder under the contract and attend site meetings as required
- Assess builder's claim for variations, progress claims and certification of payment
- Keep client and affected parties informed of any changes
- Liaise with and co-ordinate with consultants
- Final Inspection and prepare list of defects
